Policies and Expectations

Information We Collect:

Upon booking your first appointment with us you may receive documents via email including a New Client Information and Consent Form. Please review and complete these documents prior to your appointment. If electronic forms are not completed prior to your service date, you will be asked to complete paper copies at the spa prior to your service which may take time out of your treatment. Documents may include but are not limited to:

  • Health History

  • Allergy and Sensitivity Information

  • Medications and Medical Conditions

  • Informed Consent, both general and treatment-specific

  • COVID-19 Waiver

  • Pre and Post-Treatment Instructions and Recommendations

Please complete these forms as thoroughly and honestly as possible so that we may provide safe and effective services to you. All client files, both paper and electronic, will be stored in a confidential manner.

Client Expectations:

  • Services will begin and end on time as a courtesy to the next client.

  • Service times are approximate, dependent on the services and products used, and may not fill the entire booking time. For example, a 60 minute facial will include time for skin analysis and consultation.

  • Please arrive at least 10 minutes prior to your scheduled treatment time to relax and complete any required paperwork. 

  • Clients 10 or more minutes late to their appointment may be asked to reschedule.

  • No-show/no-call clients will be charged a fee of 25% of their total services scheduled or $15, whichever is greater.

  • Please arrive prepared for your treatment by completing any recommended pre-appointment steps that may be emailed at the time of booking. Preparation will vary from service to service. Examples are showering prior to a waxing service, removing eye makeup prior to a lash appointment, and the like. 

  • Minors under the age of 18 must be accompanied by a parent or guardian at all times.

  • Minors must have written consent from a parent or guardian in order for services to be performed.

  • If at any time during or after your service you begin to have an adverse reaction, you are to notify Warm Cedar Esthetics, LLC immediately via call or text so that we may provide guidance or instructions. When in doubt, seek immediate medical attention.

*We do not offer Brazilian wax services for men or sugaring for hair removal. Our apologies for any inconvenience.


  • If you are experiencing any signs of illness prior to you appointment including fever, cough, intestinal distress, or other symptoms, please reschedule your appointment when you are feeling better and symptom-free. In addition, if you are caring for a family member who is ill, please reschedule your appointment.

  • Clients arriving to their appointment with any of the above symptoms will be required to reschedule.

  • In the event one of our estheticians is ill or is otherwise unable to provide services to your during your scheduled appointment time, you will be promptly contacted to reschedule your appointment.

Deposit and Booking Fees:

  • Prior to booking your appointment online, you will be required to provide a credit/debit card to proceed with your booking. This card information will be kept on file with until such time as you request in writing that it be removed. This card can be used to pay your balance at the completion of your services or you may pay with a different method.

  • Bookings may require a $15 deposit. Please see below for refund and transfer information regarding your deposit.

  • Booking fees are non-refundable but will be applied to your total service charges.

  • Booking fees are transferable only if the cancellation is made no less than 12 hours prior to the scheduled appointment AND if the appointment is rescheduled within 24 hours of cancellation.


  • Accepted payment types are credit cards, debit cards, cash, and gift cards. Payments made by credit card are processed through We do not accept Venmo, Apple Pay or personal checks.

  • Full payment is due at the completion of your service(s). Unpaid balances will be sent to collections.

  • All unpaid balanced must be paid prior to future bookings.


  • There are NO REFUNDS on services rendered. If you are dissatisfied with your service, please contact us immediately to work toward a resolution.


  • Gratuities (tips) are voluntary and given in acknowledgement of great service. 

Refusal of Service:

  • Warm Cedar Esthetics, LLC reserves the right to refuse service to any person at any time.

  • Any behavior deemed inappropriate will be grounds for immediate conclusion of the service.

  • The client will be asked to leave, blocked from re-booking any services, and will be charged in full for the current service(s).

All clients may request a paper copy of these Policies and Expectations at any time.
